CHRS Modules

​The PeopleSoft 9.2 modules listed below need to be modified to best serve the needs of the campuses in the CSU system. The modifications (also called GRPs) to each module have been designed by campus representatives, and have been built by the Chancellor’s Office. 

Absence Management

This module processes CSU absences such as sick days, v​acation time, personal holidays, bereavement, and other leaves. Employees enter their own absences through self-service. Multi-institution security will ensure users only have access to data at their campus. This module will be the system of record for tracking all le​​ave types at the CSU which are not required to be tracked on either the job record or through an extended leave process.

  • Highlights of New Functionality in 9.2
    • Fluid Self Service for employees and approvers
    • Absence event table will be audited to monitor and report on activity
    • Work Centers will be built to facilitate employee, manager, and timekeeper role in regard to absence
    • Employees and approvers will be able to cancel any absences which have not been finalized; finalized absences will be able to be voided by payroll staff
    • Employees will be ​able to enter absences up to 12 months in advance and 12 months prior; retroactive for 12 months
    • Forecasting will be used to assist employees to determine whether or not they will have an available balance to take leave, and validate data â€‹

Benefits Administration

The Benefits Administration ​Module processes and tracks CSU benefits eligibility and enrollment information.

  • Highlights of New Functionality in 9.2
    • eBenefits is enabled to provide employee access to self-service for enrollment in benefits
    • Life Events in self-service provides a guided process for employees to initiate a change to their benefits due to a specific life even tsuch as birth, adoption, marriage and divorce
    • Activity guides can be used for specific CSU Life Events, and provide step-by-step instructions for completing the specific tasks such as birth, adoption, marriage, divorce, late enrolme​nt, and parent-child relationship
    • With the new Fluid interface, pages in the core module and in Employee Self-service will use visual tiles rather than menu options, and are designed to fit on mobile devices

 

Labor Cost Distribution

The primary goal for the LCD custom module is to transmit a CSU payroll expenditure journal from the PeopleSoft HCM application into the Common Financial System. 

  • Highlights of New Functionality in 9.2
    • Prior to running th​e CSU Actuals GL Interface process, campuses will run a new GL Interface Audit report to identify and correct any errors the GL Interface process may encounter
    • ​​New Budget Expenditure reports for Actuals and Projections will be available in the CFS Data Warehouse​
    • The Combo Code Build process, Combo Code Fiscal Year Rollover process, and the Combo Code Sync process will work in CHRS due to the addition of a campus-defining field (BUSINESS_UNIT_PC) to ACCT_CD_TBL

 

Temporary Academic Employment

Temporary Academic Employm​ent (TAE) is a custom module used for the management of Temporary Faculty data, including: 

  • Appointment data for creating and printing appointments
  • Automatic loading of TF transactions into Job Data
  • Reports to assist in the management of TF data
  • Highlights of New Functionality in 9.2
    • AWE (Approval Workflow Engine) for automated routing and approvals
    • Self-Service for Employees to review appointments, decline, and complete additional information needed for appointment processing
    • Mass Processing allows to process multiple appointments – e.g. by department

Time and Labor

Time tracking and processing module for all ​employees’ time to create the Payroll Input Process (PIP) file to produce an employee’s paycheck.

  • Tracks, validates and processes time worked, overtime, shift premiums and task reporting
  • Integrates with Absence Management module to collect absence data
  • Data is sent to State Controller’s Office (SCO) and processed by the Payroll Input Management System (PIMS) to produce employee paychecks â€‹

Workforce Administration

The Workforce Administration Module is a repository for the core employee data used in all the other Modules, such as person and job data. Includes: 

  • Profile Management, employee-specific data
  • Manage Faculty Events, data unique to Faculty employees
  • Position Management, position-specific data
